The Client Kickoff Meeting: An Agenda That Sets Up the Whole Project

The client kickoff is the meeting where the working relationship gets its defaults: how decisions will be made, how fast each side responds, what 'done' means, and who actually has authority. Projects that end in scope disputes and misaligned expectations can usually trace the problem to a kickoff that skipped the uncomfortable specifics.

The kickoff agenda that prevents later pain

  • Introductions with roles, not just names: who approves deliverables? Who is the day-to-day contact? Who has budget authority? Ambiguity here is where projects stall later.
  • Success criteria in the client's words: ask 'three months after this ships, what will make you say it was worth it?' — and write the answer down verbatim.
  • Scope boundaries — including what is OUT: the explicit not-in-scope list prevents the most common dispute. Name the adjacent things you are not doing.
  • Communication cadence: which channel, what response time, what the escalation path is when something urgent breaks.
  • The decision log: agree at kickoff that decisions get written down and confirmed. This one habit eliminates most 'but you said' conversations.

Why the kickoff recap matters more than any other

The kickoff recap is effectively a lightweight contract addendum: it records what both sides said success looks like, what is out of scope, and who owns what. Sending it within the hour — while the conversation is fresh and before anyone's memory drifts — gives it authority that a recap sent three days later does not have.

This is where automatic meeting notes earn their keep in client work. MeetOye's Oya emails a structured recap — summary, decisions, action items with owners — to every attendee including the client, the moment the kickoff ends. The client sees a professional, immediate written record; the delivery team gets a reference document for the whole engagement; and nobody had to spend the meeting typing instead of listening. When a scope question surfaces in week six, Ask Oya can pull up exactly what was agreed in the kickoff.

Introducing Oya — the AI that sits in every MeetOye call

Every MeetOye meeting ships with Oya, a built-in assistant that listens, transcribes, translates and emails a recap. No bots to invite, no plugins to install.

Live translation, explained — everyone speaks their own language

A participant speaks Urdu, another reads English, a third reads Arabic — all in the same call, in near real time. Here is how MeetOye makes that feel effortless.
