How to choose a video conferencing platform: a buyer's checklist

Most teams pick a video platform the way they pick a coffee shop — whatever's closest and already familiar. That works fine until a specific need shows up: a client who can't install software, a team that speaks three languages, or a compliance requirement nobody thought to check at signup. Here's a checklist to run through before, not after.

1 — How do guests actually join?

Test this yourself, from a fresh browser with no account logged in. If joining requires a download, a sign-up, or admin approval from the guest's own organization, that's friction every external meeting will hit.

2 — Is the AI layer included or bolted on?

Ask specifically whether transcription, summary and recap are included in the plan you're buying, or require a separate AI add-on, license, or admin rollout. This is the single most common gap between a platform's marketing page and what a team actually gets.

3 — Does it handle more than one language?

If your team or your clients don't all share a first language, check whether translation works per participant in real time, or only as a single shared caption language — or not at all.

4 — Where does the data live?

Find out whether transcripts and recordings stay in a third-party vendor's cloud indefinitely, who inside your organization can access them, and whether self-hosting or on-prem deployment is an option if you ever need it.

5 — What breaks at scale?

A platform that works well for a 5-person team can behave differently at 50 or 500 participants. Check video quality under load, host controls for large groups, and whether the AI assistant still keeps up when many people are talking.
